Length of contract: Permanent

Salary: £18,564 to £20,000 (depending on experience) plus contributory pension 3% – 5%

Responsible to: Head of Business Operations

Responsible for: No staff

Working with: All HACT staff, HACT Board, Partners, Consultants Clients and Suppliers

Purpose This role supports the Head of Business Operations and the wider HACT team in the delivery of high quality administrative support. The Business Administrator will be a key member of the team at HACT, with responsibility for delivering administrative support services throughout HACT including being a part of the creation and maintenance of a supportive, reliable and creative environment, which enables maximum impact from all HACT staff, partners and customers.

 

The post holder plays a key role in ensuring the smooth running of the organisation and HACT’s diverse range of projects and services. They will ensure that project development and delivery and activity to generate income for HACT is effectively supported so as to ensure HACT can deliver on its mission, which requires flexibility, adaptability and an outward-facing and well networked style of operating.

 

The Business Administrator will play a key role in supporting and maintaining HACT’s CRM database (Highrise) and will support the delivery of specific projects, particularly the administration of the Digital Apprenticeship programme.

 

The role provides specific administrative support to the Executive Team, including some diary management, dealing with correspondence, and other support when requested.

We are a small team and the Business Administrator will work extensively with all other areas of the business.

 

 

Responsibilities

 

Deliver a range of administrative services within HACT and to assist the Head of Business Operations with support across the organisation so as to provide the sort of office environment that can best deliver HACT’S mission and strategy.

 

Carry out general administration tasks including receiving post, coordinating suppliers, booking travel, booking meeting rooms, answering the telephone and maintaining paper and electronic files. Ensure office equipment and IT systems are maintained and that any problems are quickly rectified

 

Provide support to members of the Executive Team, including arranging meetings, diary management, dealing with correspondence, and other administrative support on request.

 

Assist HACT partners, who are not office based, to maximise the use of established systems, so as to deliver effectively for HACT. To assist in ensuring that work is carried out in a healthy and safe way.

 

Contribute to HACT’S business planning and performance processes by operating key monitoring systems.

 

Deal with routine financial transactions including the processing of income receipts, invoices, invoicing and petty cash. Play a key role in delivering HACTs credit control systems.

 

Support project based events including external seminars and conferences and service some meetings. Traveling to community and learning events, some which will be nationwide, to provide administrative support at such events.

 

Work with the Head of Business Operation and other staff to help ensure systems in place are effective, efficient and fit for purpose.

 

Assist with providing a professional ‘front-of-house’ services including in answering the phone, dealing with queries and requests for information and maintaining/ updating the HACT database of contacts.

Experience, Skills and Knowledge

 

Applicants will need to demonstrate:

 

  • A commitment to working within the aims and values of HACT

  • Motivated to learn and develop in and beyond the role
  • Ability to grasp new topics, asking relevant questions
  • Reliable and excellent time keeping
  • Good communication skills in writing, in person and in your general conduct
  • Ability to learn how to use new systems
  • A least two years, excellent administrative skills including an aptitude for good planning and organisation.
  • Ability to service events and meetings, including taking minutes and/or notes of meetings.
  • Good level of ICT skills including Word, Excel and PowerPoint
  • Experience of using and maintaining a CRM system (desirable)
  • Experience of work with others and a willingness to work with and support work colleagues on tasks who are under pressure. Able to receive instructions from peers and more senior staff
  • A commitment to actively engage in delivering policies that support diversity and equality of opportunity
  • Good numerical skills and the ability to provide support for financial administration
  • Ability to work without continued guidance
