Job Description:

We are currently recruiting for a Finance & Administration Assistant. Hours of work are Summer 08.00-18.00, Winter 08.00-17.00 (or as requested by Supervisors/Senior Management). Flexibility in hours of work is necessary in this post.


To assist in the provision of efficient financial and administrative services to ensure the smooth running of finance & general administrative operations; supporting the Head of Finance to ensure all necessary information is up to date and that all tasks are actioned in a timely fashion. This role requires you to wear the full uniform. A neat and tidy appearance is essential at all times.


  • Record, reconcile and track (against projects) all types of income and expenditure
  • Complete company banking, administer invoices/expenses claims & code items to agreed budgets
  • Review budgets and expenditure as necessary and prepare monthly reports and other data as required
  • Liaise between relevant internal departments, suppliers, manufacturers and customers
  • Conduct research to identify the best products/suppliers and build/maintain good supplier relationships
  • Forecast price trends and their impact on future activities; forecast future demand for products/services and monitor stock levels (in conjunction with relevant departments)
  • Liaise with suppliers to obtain invoices/credit notes; maintain up-to-date records of suppliers/accounts payable
  • Assist with preparation of BACS payments, including payroll; process petty cash and credit card expenses
  • Assist in the preparation and maintenance of effective filing systems, ensuring immediate retrieval and production of documents as required
  • Maintain confidentiality and observe data protection and associated guidelines at all times
  • Meet deadlines and be accessible to other team members
  • Follow all health and safety and other Big Cat Sanctuary procedures to ensure animal, staff & visitor safety and security
  • Work quickly & efficiently at all times
  • Communicate with visitors, staff and volunteers in a positive, clear and friendly manner
  • Attend team meetings and undertake agreed actions; attend formal and informal training, as required
  • Other duties to support effective and efficient site working, as required


Qualifications, skills and experience:


  • Proven experience of finance and office administration roles
  • Numerate & competent in the use of finance software (specifically Sage50 Accounts and Sage 50 Payroll)
  • Strong IT skills (including fully competent in MS Office)
  • Excellent communication and negotiation skills
  • Ability to plan and manage a busy workload to meet deadlines without compromising accuracy
